Job Overview:
We are looking for a friendly, professional, and organized Receptionist to serve as the first point of contact for our company. The Receptionist will manage a high volume of incoming calls, greet visitors, and handle various administrative tasks to ensure the smooth operation of the office. The ideal candidate will have strong communication skills, a customer service-oriented attitude, a high level of professionalism and will not be afraid to work in a fast-paced, dynamic environment!
Key Responsibilities:
- Greeting Visitors:
- Greet and welcome visitors as they arrive, ensuring they are directed to the appropriate person or department.
- Provide excellent customer service by addressing client or visitor inquiries professionally and promptly.
- Maintain a professional and welcoming front office environment.
- Answering and Directing Calls:
- Answering a high volume of incoming phone calls, providing information or redirecting calls to the appropriate departments or individuals.
- Take accurate messages and ensure timely follow-up on messages left for employees.
- Administrative Support:
- Perform general administrative tasks such as filing, faxing, photocopying, and scanning documents.
- Maintain office supplies inventory and reorder items when necessary.
- Sort and distribute incoming mail and packages, as well as handle outgoing mail.
- Scheduling and Appointment Coordination:
- Assist in scheduling appointments and meetings, ensuring conference rooms and resources are reserved.
- Manage calendars for senior staff as needed, including scheduling meetings and making travel arrangements.
- Other Duties:
- Provide support to other departments with administrative duties as required.
Qualifications:
- Education:
- High school diploma or equivalent required; associate degree or relevant certification is a plus.
- Experience:
- Previous experience in a receptionist, customer service, or administrative role is preferred but not required.
- Familiarity with office equipment (phones, fax machines, printers) and office software (Microsoft Office Suite) is a plus.
- Skills and Abilities:
- Strong communication skills, both verbal and written.
- Excellent customer service and interpersonal skills.
- Ability to multitask and handle a high volume of work in a fast-paced environment.
- Strong attention to detail and organizational skills.
- Professional demeanor and positive attitude.
