As we continue to grow, we’re looking for a high-performing Executive Coordinator who’s equal parts organized, proactive, and unflappable to support up to three key members of our senior leadership team. We move fast (seriously—really fast), and your role is to keep everything running smoothly: calendars aligned, meetings prepped, travel booked, and communication flowing.

 

Whether it’s managing day-to-day logistics, prepping for high-stakes meetings, or jumping into special projects, you’ll be a trusted right hand, a sounding board, a gatekeeper, and, occasionally, a mind reader. If you're sharp, resourceful, quick on your feet, and great with people—this could be a great fit.

 

What You’ll Do:

  • Own the calendars of 2-3 senior executives—schedule meetings, prioritize time, and keep everything on track
  • Coordinate travel logistics, including flights, accommodations, and itineraries
  • Prepare agendas, briefing materials, and follow-ups for internal and external meetings
  • Keep communication flowing between executives, their teams, and external partners
  • Track action items and project milestones to help ensure follow-through
  • Handle confidential and time-sensitive information with care and discretion
  • Pitch in on special projects and cross-functional initiatives as needed

 

What You Bring:

  • 3+ years of experience supporting senior-level executives in a fast-paced environment
  • Confidence managing complex schedules and competing priorities
  • Excellent written and verbal communication skills
  • High level of discretion and sound judgment
  • Master organizer with strong follow-through and attention to detail
  • Proactive mindset—you’re always thinking three steps ahead
  • Comfortable using tools like Outlook, Google Workspace, Zoom, HubSpot, and Microsoft Office
