Overview

We’re looking for a Workplace Experience Coordinator to join our Needham office and help create a space where people enjoy coming to work. You’ll be the friendly face of the office and the go-to person for everything that makes the day-to-day employee experience run smoothly—from welcoming guests to handling behind-the-scenes logistics.

 

This is a hands-on, highly visible role that touches every corner of our organization. You’ll be part facilities, part hospitality, part culture champion—all rolled into one. If you're organized, people-oriented, and take pride in creating positive environments, we’d love to meet you.

 

What You’ll Do:

  • Be the first point of contact in the office—greeting visitors, helping employees, and creating a welcoming environment
  • Manage day-to-day office operations including mail, supplies, maintenance requests, vendor coordination, and space setup
  • Coordinate snacks, coffee, weekly catered breakfasts/lunches, birthday treats, and other morale-boosting moments
  • Support onboarding by prepping welcome kits and coordinating with IT, HR, and hiring managers to ensure a memorable "First Day, Best Day" experience
  • Assist with company events, team meetings, and celebrations—including food orders, room setups, and other logistics
  • Partner with teams across the company to support office moves, space planning, and workplace improvements
  • Keep an eye out for what’s working (and what could work better) and help us create a more efficient, fun, and engaging workplace while continuously improving the overall employee experience

 

What You Bring:

  • A warm, helpful, can-do attitude with strong communication skills
  • 1+ years of experience in office coordination, hospitality, workplace experience, or a related support role
  • Be organized, detail-oriented, and comfortable juggling multiple priorities
  • Able to troubleshoot issues independently and take initiative
  • Proficiency with Microsoft Office, Outlook, and a general comfort with modern workplace tools
  • Willingness to learn and grow—no one expects you to know everything on day one!
  • Bonus points if you’ve supported a growing company, handled light event planning, or worked in a fast-paced office environment
