Overview

At Encore Fire Protection, we’re more than just a fire protection company—we’re a people-first, results-driven, growth-minded team that just so happens to be great at keeping buildings (and the people in them) safe. For over 30 years, we’ve served the Northeast with a proven approach rooted in technical expertise, clear communication, and exceptional customer service.

What sets us apart? Our people. It’s not just a motto—it’s a core belief. We know that great people build great companies, and we’re looking for someone who thrives on making things happen behind the scenes.

As we continue to grow, we’re looking to add a Sales Administrative Coordinator to play a key role in keeping our Sales organization running at full speed. In this role, you’ll work closely with senior Sales leaders to streamline schedules, prep meetings, coordinate travel, and handle key projects—freeing up time and headspace so they can focus on what they do best: leading teams and driving growth.

You’ll be the ultimate behind-the-scenes partner: part organizer, part communicator, part problem-solver. The ideal candidate is sharp, flexible, and unfazed by shifting priorities. Our leadership team is constantly on the move—this role will require you to stay one step ahead, with a “go where you’re needed” mindset. Whether you’re in the office, on the road, or jumping into meetings on short notice, you’ll be riding shotgun as needed and making sure nothing slips through the cracks.

If you love a fast pace, keep calm under pressure, and know how to anticipate needs before they’re said out loud—this could be the perfect fit.

What You’ll Do

  • Keep complex calendars aligned, priorities clear, and meetings on track
  • Coordinate travel arrangements, including flights, hotels, and full itineraries
  • Be physically present and available as needed—whether it’s in the office, at a site, or supporting on the road
  • Prepare materials and logistics for internal and external meetings
  • Maintain clear communication between sales leadership, internal teams, and external contacts
  • Track and follow up on key action items and project milestones
  • Handle sensitive information with professionalism and discretion
  • Take on special projects that support the Sales function and overall business priorities

What You Bring

  • 3+ years of experience supporting senior-level leaders (sales experience a plus)
  • Ability to pivot quickly, juggle shifting priorities, and stay level-headed in high-speed environments
  • Excellent written and verbal communication skills
  • High level of discretion, sound judgment, and professionalism
  • Strong organizational habits and attention to detail
  • Proactive mindset—you think three steps ahead and stay ready for what’s next
  • Willingness and ability to travel as needed and be where you’re needed, when you’re needed
  • Comfortable using tools like Outlook, Google Workspace, Zoom, HubSpot, and Microsoft Office

What We Offer

At Encore, we’re hyper-focused on building a culture that thrives on each other’s success and is energized by the fact that we get to make people’s lives better and safer every day. We believe in generously rewarding everyone who contributes to our continued growth—but we also know that not all rewards are just monetary.

Here are a few of the perks and benefits you can expect in this role:

  • Competitive base salary with results-driven bonus potential
  • Purpose-driven, results-oriented work environment (we value working smarter, not harder)
  • Flexible dress code—jeans most days, suits when needed. As long as you know what fits the situation (or aren’t afraid to ask!), you’ll fit right in.
  • Speaking of attire—we provide Encore gear for all new team members
  • A culture that encourages innovation, ownership, and CHANGE—we’re always willing to test, improve, and evolve
  • Access to industry-leading web-based productivity tools
  • Comprehensive benefits package including:
    • Medical, dental, and vision (Blue Cross)
    • 401(k) with employer match (Fidelity)
    • Company-paid life insurance policy ($50,000)
