Overview

Job Title: Executive Assistant

Location: Pawtucket, RI or Needham, MA

Company Overview:

At Encore Fire Protection, we’re more than a fire protection company—we’re a people-first, results-driven, growth-minded team that just so happens to be great at keeping buildings (and the people in them) safe. For over 30 years, we’ve served the Northeast with a proven approach rooted in technical expertise, clear communication, and exceptional customer service.

What sets us apart? Our people. We believe great people build great companies, and we’re looking for someone who thrives on making things happen behind the scenes.

The Opportunity:

We’re looking for an Executive Assistant to provide dedicated support to a senior member of our Sales leadership team. This role is your chance to become a trusted partner—keeping priorities in order, managing calendars, coordinating travel, and handling professional communications with internal teams and external contacts. You’ll drive projects forward and ensure everything runs smoothly, all while maintaining discretion and professionalism.

This isn’t a desk-only role—you’ll need to be flexible, mobile, and ready for anything. You’ll be the go-to problem solver, the person who keeps chaos at bay, and the ultimate organizer behind the scenes. If you love fast-paced environments, thinking on your feet, and making things happen before anyone else even notices, this could be the perfect fit.

Once you master this role, the opportunities are endless. Whether your future path is in operations, sales enablement, project management, or leadership, this position is a launchpad for ambitious, driven professionals who want to build a career with real upward mobility.

What You’ll Do:

  • Keep a senior Sales leader’s calendar aligned and priorities organized
  • Coordinate travel arrangements, including flights, hotels, and itineraries
  • Prepare materials, decks, and logistics for internal and external meetings
  • Act as the hub of communication between the leader, internal teams, and external partners
  • Track and follow up on action items and projects to ensure initiatives move forward
  • Handle sensitive information with the highest level of discretion
  • Jump into special projects that directly support Sales leadership and business objectives
  • Flexibly support the leader in the office or on occasional site visits

What You Bring:

  • 3+ years supporting a senior leader (experience in sales or operations environments is a plus)
  • Ability to pivot quickly, juggle shifting priorities, and stay calm under pressure
  • Excellent written and verbal communication skills
  • High level of discretion, sound judgment, and professionalism
  • Strong organizational habits and attention to detail
  • A proactive, “three steps ahead” mindset
  • Comfort with tools like Microsoft Office Suite, HubSpot, and other productivity platforms
  • Ability and willingness to travel as needed for primarily day trips on the East Coast
  • Self-motivated and able to thrive with autonomy and flexible work arrangements

What We Offer:

At Encore, we’re focused on building a culture that thrives on each other’s success and is energized by making people’s lives better and safer every day.

Here are a few of the benefits you can expect in this role:

  • Competitive base salary with results-driven bonus potential
  • High autonomy & flexibility – once up to speed, you’ll have the freedom to manage your work independently, including the ability to work remotely as needed
  • High visibility & impact – work closely with senior leadership and play a key role in driving initiatives
  • Purpose-driven, results-oriented work environment – we value working smarter, not harder
  • A culture that encourages innovation, ownership, and CHANGE – we’re always willing to test, improve, and evolve
  • Encore gear for all new team members and flexible dress code – jeans most days, suits when needed. As long as you know what fits the situation (or aren’t afraid to ask), you’ll fit right in
  • Access to industry-leading web-based productivity tools
  • Comprehensive benefits package including:
    • Medical, dental, and vision (Blue Cross)
    • 401(k) with employer match (Fidelity)
    • Company-paid life insurance policy ($50,000)
