The Opportunity

As our receptionistyou are the first impression of Encore and the steady presence at the center of a busy, growing headquarters. You are the person people meet before anyone else, the voice they hear when they call, and the calm, organized presence that keeps the front of the office running smoothly. 

This role blends hospitality, coordination, and communication. One moment you are welcoming a candidate on their first interview; the next, you are routing a call from a customer, helping a vendor find the right contact, or keeping mail, deliveries, and meetings running smoothly. You help make the office feel polished, warm, and people focused, which is exactly how we want Encore to feel for employees, partners, and guests.

Key Responsibilities

In this front of house role, you keep the office experience running smoothly and help create a welcoming, professional environment for everyone who walks through the door or picks up the phone. You will: 

 

  • Greet and welcome visitors, clients, and vendors and direct them to the appropriate person or department. 
  • Provide a professional, friendly, and helpful experience for all guests and callers. 
  • Answer a high volume of incoming phone calls, provide basic information, and route calls to the correct team members. 
  • Take accurate messages and ensure timely follow -up on calls and inquiries. 
  • Maintain a clean, organized, and welcoming reception and lobby area. 
  • Perform general administrative tasks such as filing, photocopying, scanning, and faxing documents. 
  • Sort and distribute incoming mail and packages and prepare outgoing mail and shipments. 
  • Monitor office supply levels for the front office and coordinate reorders when needed. 
  • Assist with scheduling meetings and appointments, including reserving conference rooms and resources. 
  • Support calendar coordination and basic travel logistics for leaders as needed. 
  • Provide general administrative support to the Talent, Culture, and People team and other departments when requested. 

What You Bring to the Table

  • High school diploma or equivalent 
  • Strong verbal and written communication skills 
  • Comfortable interacting with visitors, vendors, and employees at all levels of the organization 
  • Ability to handle a high volume of calls and tasks while staying professional and composed 
  • Solid organizational skills and strong attention to detail 
  • Professional, polished, and approachable presence at the front desk 
  • Familiarity with Microsoft Office Suite, especially Outlook, Word, and Excel 
  • Comfort using standard office equipment such as multi line phones, printers, copiers, and scanners 

 

What Will Make You Stand Out? 

  • You have experience supporting a busy front desk in a multi-department office or corporate setting. 
  • You have spent time in customer-facing or hospitality roles and genuinely enjoy making people feel welcome. 
  • You have experience working with executives or senior leaders and know how to handle confidential information with care. 
  • You have experience coordinating meetings, events, or office gatherings and enjoy adding thoughtful touches to the experience. 
  • You are energized by being at the center of the action and helping the office feel organized, friendly, and put together. 

 

Salary commensurate with experience with opportunity for a results-driven bonus based on personal output and effectiveness in role. Expected hourly range between $25 - $30 per hour.
