The Opportunity

Small contracting work lives in the space between service and large construction projects. Customers are not looking for a full ground-up system install, but they still need someone who can walk into a building, understand the problem, put together a clear plan, and move quickly. That’s where you come in.

As a Small Contracting Sales Estimator at Encore, you are the person customers trust to turn field conditions, code requirements, and customer requests into real projects that get done correctly and efficiently. One day you may be walking a tenant fit-out with a contractor, the next you may be quoting a riser replacement, coordinating a retrofit, or helping a customer navigate a code-driven upgrade.

This role is equal parts relationship management, estimating, and operational coordination. You are not sitting behind a desk waiting for bid opportunities to land in your inbox. You are actively building relationships, identifying work, walking sites, solving problems, and partnering closely with Operations, Design, Scheduling, and Field Teams to keep projects moving.

The work moves fast, priorities shift quickly, and customers expect responsiveness and clarity. If you are organized, proactive, technically curious, and comfortable owning conversations from first walkthrough through project turnover, you will thrive here.

Key Responsibilities

Sales & Customer Development

  • Develop and maintain relationships with new and existing customers across the Small Contracting division.
  • Conduct site walks and customer meetings to evaluate project opportunities, define scope, and identify additional work opportunities.
  • Generate and follow up on quoted opportunities through customer requests, inspections, service calls, referrals, and ongoing account relationships.
  • Build trust with customers through responsive communication and consistent follow-through throughout the project lifecycle.
  • Partner closely with Service, Operations, Scheduling, and Field Teams to support customer needs and drive successful project outcomes.

Estimating & Proposal Development

  • Perform field surveys and gather accurate project scope information for sprinkler-related repairs, retrofits, modifications, and tenant improvement work.
  • Build detailed estimates and proposals including labor, materials, permits, subcontractors, and equipment.
  • Review drawings, specifications, and applicable code requirements while coordinating with vendors, suppliers, and design teams for pricing and technical support.
  • Ensure estimates align with company pricing standards, profitability targets, and operational capabilities while identifying project risks and scope gaps before work is sold.

Project Coordination & Handoff

  • Coordinate project turnover with Operations, Scheduling, Design, and Field Teams to ensure complete documentation and clear scope expectations.
  • Support permitting, scheduling, procurement, project communication, and field execution as needed.
  • Assist with scope clarification, customer communication, project changes, and additional sales opportunities throughout project execution.

Pipeline & Process Management

  • Manage an active pipeline of quoted and awarded projects while maintaining accurate customer, proposal, and forecast information within company systems.
  • Participate in operational meetings, forecasting discussions, and process improvement initiatives.
  • Maintain organized project documentation while balancing multiple active opportunities with responsiveness, accuracy, and professionalism.

What You Bring to the Table

  • 3-5+ years of experience in estimating, inside sales, customer service, or project coordination within a trade, service, construction, or technical environment
  • Experience estimating sprinkler projects, service work, or related construction projects, with a working knowledge of commercial fire sprinkler systems and field applications
  • Ability to read construction drawings, specifications, inspection reports, and technical work orders while accurately identifying scope and asking the right questions
  • Strong verbal communication skills with the ability to explain technical issues, project scope, and recommendations clearly to customers with little or no technical background
  • Strong relationship-building skills and a people-first approach that helps you build trust with customers, contractors, vendors, and internal teams
  • Highly organized with strong time management, follow-through, and the ability to manage multiple active quotes, projects, deadlines, and shifting priorities without losing attention to detail
  • Mechanical aptitude, resilience, and comfort working in fast-paced technical and field-driven environments where direct communication and problem solving are part of the day-to-day
  • Proficiency with Microsoft Outlook, Word, and Excel, along with the willingness and ability to quickly learn CRM systems, estimating platforms, and operational tools such as HubSpot or ServiceTrade

What Will Make You Stand Out?

  • You have experience in life safety, fire protection, or another building services or route-based service business.
  • You don’t need someone looking over your shoulder. You manage your own workload and you hit your numbers.
  • You have prior experience using HubSpot, ServiceTrade, or similar CRM and service management tools.
  • You have experience partnering directly with outside sales, operations, and service teams to support shared revenue goals.
  • Familiarity with NFPA codes or AHJ compliance requirements
  • NICET certification or equivalent
  • You can demonstrate an ability to get in front of customers, build rapport quickly, and stay top of mind without being pushy.
